Apply for API Monogram Licenses & APIQR Certificates of Registration

Key pages of the API application are provided here so that you have the chance to preview the steps as preparation. When you are ready to apply, go to myCerts and submit your application online.

During the application review, you may receive follow-up questions from an API Associate. Any deficiencies in the application need to be resolved within 1 year of the date of submission, or the application will be withdrawn. After your application is accepted, an Initial audit will be scheduled to confirm that your organization meets all of the requirements of the License or Registration for which you are applying.

Review the products that are eligible to be licensed under a specific API Specification or Standard.  The Licensing Information Forms can help your organization determine if you have the best scope for your API Monogram License.


Prerequisites to Applying

Before submitting your application, make sure your organization answers YES to all of the following questions:
  1. Have you implemented and maintained a management system that meets the applicable requirements of API Spec Q1 for least four months?
  2. Has a full system internal audit been performed with the past 12 months?
  3. Has a management review been conducted?
  4. If you are applying for a Monogram License, do you have a validated design package, if applicable, for each product under the scope of your application for licensing?
  5. Have you identified and provided justification for any exclusions to your MS or Monogram product scope? Refer to API Advisory 6 Design and Development Exclusion.
  6. Do you own an authorized copy of the most current edition of the API Product Specification(s) for which you are applying licensing, and if applicable, an authorized copy of the most current edition of the Management System specification(s) for which you are applying?
  7. Have you filled out a Conformity Matrix? If you are applying for a Monogram License or an API Spec Q1 Registrations, do you have the API Spec Q1 Conformity Matrix filled out in English? If you are applying for an API Spec Q2 Registration, please use the API Spec Q2 Conformity Matrix.
  8. Do you have a copy of your current Quality Manual (written in English)?
    • Organizations applying for licensing under the API Monogram Program must develop and maintain quality manuals that describe their quality management system and how it conforms to the requirements of API Spec Q1. Organizations participating in the API Monogram Program must also demonstrate continued ability to meet the technical requirements identified in the applicable API product specification(s).
    • Organizations applying for API Spec Q1 Registration and/or API Spec Q2 Registration must develop and maintain quality manuals and quality management systems in conformance with these standards.
    • Organizations applying only for ISO 9001 Registration must develop and maintain quality manuals and quality management systems that conform to the ISO 9001 standard.
    • Organizations applying for ISO 14001 Registration and/or OHSAS 18001 Registration must develop and maintain a management system that conforms to the requirements of these standards.

Confirm that you are applying for the Facility ID that is displayed on this page, or you will have the opportunity to switch to another facility under your same myCerts account.

Programs, Specifications & Product Details

Choose the program(s) for which you are applying, such as Monogram, API Spec Q1, ISO 9001, etc. You will be guided through a process in which you will select the exact Monogram Specification, the products offered under that specification, and the product details that match your manufacturing capabilities. You’ll have the chance to review all of your selections on the Final Review page.

Locations

In certain instances, specific Monogram specifications may be eligible for an Alternative Marking Agreement. This needs to be discussed with API prior to approval. Learn more about an API Monogram Program Alternative Marking of Products License Agreement (AMA).

Legal Agreement

Read and accept the Management System Legal Agreement and/or the Monogram License Agreement with an electronic signature.

Questionnaire

The topics on the Questionnaire are provided below to help you with the preparation of your application.

  1. List the products and/or services under the control of your management system. (Activities, product, processes and services within the control of your management system, which may include those that are not in your API Monogram application or your APIQR scope statement.)
  2. How long has your organization had a management system in place that meets the requirements of the standard(s)? (Note that API requires a minimum of 4 months.)
  3. Dates of your last full system internal audit
  4. Dates of your last management review
  5. If you have used any outside assistance (e.g. consultant) in preparing any part of your management system, provide the name and contact information of the person or company that provided the assistance.
  6. Identify the processes or activities that your facility outsources or performs at another location including any manufacturing, testing or inspection activities. (In addition to the name of the process, please provide the name and location of the supplier and the percentage of the process or activity outsourced.)
  7. Identify the manufacturing, testing and inspection activities performed at this facility. (Not to include any activities that you outsource or perform at another location.)
  8. Identify the processes within the control of your management system that require validation. (Includes both processes performed at your facility, processes performed at another location and outsourced processes.)
  9. Total area of the facility in square meters.
  10. Area of the manufacturing sites at this facility in square meters.
  11. Number of employees work at the facility.
  12. Identify the start and end hours for all shifts and the number of employees per shift.
  13. Upload your quality manual.
  14. Upload your conformance matrix.

Payment

Tell API how you will be paying the application fee, such as check or bank wire. You can print the invoice on the next page.

Renew API Monogram Licenses & APIQR Certificates of Registration

API Monogram Licenses and APIQR Certificates of Registration require a Renewal Application every three (3) years. Applications can be submitted 9 months before your expiration date. API encourages organizations to submit early to allow enough time for the application review, audit and audit review, which typically take 4 to 6 months.

The Renewal Application

The Renewal application has four steps that need to be completed before the application will be accepted and the renewal/recertification audit assigned. You can preview the steps here as preparation. When you are ready to proceed, log into your API account in the myCerts portal and start the Renewal Application process from your Dashboard page.

Step 1 - Facility Information

Review / Revise your API account information.

Review your current License and/or Registration scopes. Add products and revise your scope if applicable. You will have the chnace to review all of the details at the end of Step 2.

HOW TO:

Add or Remove a Product from an Existing Monogram License

Submit your request to certification@api.org.

Your request needs to include:

  • Your facility information and facility identification number
  • What licenses you would like to amend. Please include a Licensing Information Form that reflects your desired product changes.

If you are adding products to your license, please indicate whether or not you would like to have a separate change audit to add these products, or if you would like to have your capability reviewed at your next regularly scheduled audit.

API does not charge to add products to an existing license. However, if API determines that an audit will be necessary to add the product to your license, your organization will be responsible for any auditing costs.

Apply for Alternative API Monogram Marking Agreement

If you are applying for an Alternative API Monogram Marking Agreement as part of a new license application, you can complete the application online through myCerts.

As an existing facility, If you would like to apply for an Alternative API Monogram Marking Agreement, please read and complete the Alternative Marking Program Requirements and License Agreement and submit to certification@api.org.

For more information as to whether or not an Alternative API Monogram Marking Agreement is applicable to your organization, please contact your Worldwide Representative.

Change the Name of your Facility

In order for API to process your request for a name change:

  1. Download and complete the API Certification Programs Application Form
  2. Download and complete the API Monogram Licensing Requirements if you have a Monogram License
  3. Download and complete the APIQR Registration Program Requirements if you have an APIQR Quality Registration
  4. If you are changing the name of your facility, please include a copy of your business license or other certified document that reflects the official name of your organization as registered with your government. If your business license is not in English, please provide the English translation so that we can review the document.  Please include the answers to the following questions along with your correspondence:
    • What is the reason for the name change? Is this a change in ownership?
    • What is the effective date of the name change?
  5. Submit completed correspondence to certification@api.org.

Please note that all certifications are non-transferable.

Change the Location of your Facility

In order for API to process your request for a location change:

  1. Download and complete the API Certification Programs Application Form
  2. Download and complete the API Monogram Licensing Requirements if you have a Monogram License
  3. Download and complete the APIQR Registration Program Requirements if you have an APIQR Quality Registration
  4. If you are changing the location of your facility, please include the answers to the following questions along with your correspondence:
    • What is the effective date of the location change?
    • What is the distance from the old facility location to the new facility location?
    • What is the approximate percentage of employees transferring to the new facility?
    • Will the same Quality Management System be used at the new facility?
  5. Submit completed correspondence to certification@api.org.

Please note that all certifications are non-transferable.

API Payment Policy

  1. Applications will not be processed until payment is received and applied.
  2. All payments need to be made in United States currency and checks drawn from a U.S. bank. Applicants are responsible for all taxes, banking and other service fees, including all applicable withholding taxes.
  3. Please include invoice number with all payments
